It’s hard to believe 2010 has already arrived, but we’re ready to get things rolling and will be counting on all of you to be ready too! We hope you have had a very successful 2009 Fair season and are excited to join us for the 2010 Oklahoma State Fair! As you begin making your plans, please take a look at the newsletter and list of dates below for some important information to mark on your calendars.

| March 1 – | Last day to renew space by returning signed Invitation AND 50% deposit; Last day to request full refund with no penalties. |
| Mid-May – | Contract Packets will be mailed. |
| July 2 – | Signed Contracts are due WITH payment in FULL to reserve space; After this date, partial refunds may be granted ONLY if full space is resold. |
| August 2 – | Final deadline to place orders for additional services. |
| September 1 – | CHECKS NO LONGER ACCEPTED (cash, cashier’s checks or money orders ONLY |

It is crucial to be informed of our deadlines and respond in a timely manner. Your cooperation with paperwork and other necessary requirements creates a much smoother process for everyone. As much as we would like to contact each and every one of our exhibitors personally, with almost 600 of you, it’s just not possible. If we don’t hear from you, we cannot hold your space – missed deadlines will result in forfeiture of space. (And please be reachable – home phone, mobile phone and email addresses should all be current and accessible. Use the link below to email any updated contact information.)
For our returning vendors, be on the lookout for Renewal Invitations, as they will be mailed out in mid to late January, and be ready to respond by the March 1st deadline with all required material. After that date, any remaining spaces left unclaimed will be released to our new applicants or others who have submitted written requests for space changes or additions. If you have any special requests – add a location, increase the footprint of your space, move to another area of the park, new menu offerings?? – you must put them in writing. Include your “wish list” on your Renewal Invitations, and all requests will be considered as we begin the process of putting the puzzle pieces together.

Special Note: If you were a new participant in 2009 as a special attractions-type exhibit or a traveling national/corporate exhibit, standard renewal procedures will not apply to you. If you are interested in returning for 2010, you must reapply for space by submitting a new application. Links to our application may be found in the section NEW APPLICANTS.
At the Oklahoma State Fair, we take great pride in making a positive impression on our Fair guests and putting forth our best effort. With that in mind, we’re looking for the best of the best when it comes to booth presentation and design. As you begin making plans for your booth layout, we’ll be updating this page over the next several weeks to include some good examples of attractive booth displays. They range from basic – clean and simple, to much more elaborate, semi-permanent structures, with many hitting all the points in between. Please use these photos as your guide to creating or upgrading your displays. Again, these are just a few examples of our better exhibits. We’re proud to say we have many to choose from – so make it your goal to be one of them! But don’t feel limited to these ideas alone; be creative – the sky’s the limit! The more eye-catching, unique and inviting your display, the better your chances of creating interest in your space and the products or services you offer.
In addition to the visual, aesthetic quality of your booth, please also be aware of the restrictions to contain all merchandise, signs and banners within your contracted space. If you need to use sandwich boards, kiosks, or other movable displays at the front of your space, be sure to plan accordingly and set trailers, tents or tables to allow enough room inside your marked space. Any obstructions encroaching on designated walkways (even if only by a foot or two) will be removed.
We appreciate all the hard work our Commercial Exhibitors, Food Concessions and Pay-to-Play Attractions contribute to make the Oklahoma State Fair one of the state’s most anticipated events! We look forward to doing business with you again in 2010 and welcome any questions, comments or suggestions as we diligently work to plan the best event possible.
